Here we grow again! Onstream Pipeline Inspection Services is a provider of inline inspection services to pipeline operators in North America. Due to continued growth within the Team, Onstream is now accepting applications for the position of Commercial Operations Coordinator, in Calgary.

Reporting to the Chief Operating Officer (COO), this position works under broad direction and is responsible for building internal policies and procedures required to be able to provide commercial analysis to senior management. The role of this position requires strong collaboration with executive leadership, sales, and operations, and may involve the oversight of various sales and marketing activities.

Essential Functions

  • Weekly Duties:
  • Quote/Proposal Generation for MSA/contract clients
  • Enter in quotes into Bid Tracker in SalesForce
  • Monitoring of bids with follow up with pre-determined amount of time
  • Weekly Sales Meeting:
  • Lead analytics portion of weekly sales meeting. Includes dashboard monitoring and generation for sales KPI’s- number of bids, win/loss/cancelled/deferred
  • Manage Forecast regarding number of runs by client
  • Manage Onstream Scheduler from sale to invoice perspective
  • Weekly follow up on all completed projects with adjusted sales quote ready for finance to invoice. This will include following up with operations and analysis on additional charges: damages, bundled mobs, stand by, correct meterage, etc.
  • Maintain good understanding of company services and the procedures necessary to fulfill customer expectations
  • Manage customer contracts, Master Service Agreements, and Purchase Orders including creating a database with start dates and end dates for all material contracts
  • Work in conjunction with the sales team to establish quotes and sales orders utilizing the Company’s ERP system and/or assist in the creation of client invoices
  • Evaluate existing processes to identify opportunities to enhance quality and efficiency
  • Collaborate with sales and operations teams to implement standards, policies, and procedures for interacting and transacting with clients, and provide monitoring to ensure compliance with set policies and procedures
  • Utilize CRM tools and database in the management and organization of client relationship information
  • Support the sales team with various projects as required
  • Other duties as assigned

Education and Experience

  • 2+ years of experience in a similar role
  • Diploma in Sales/Marketing or Business Administration (asset)
  • Individuals who have worked in the Oil and Gas, pipeline or related industry
